Calendar

The board's meetings and deadlines on a month grid or agenda list, in your own timezone, with a personal feed link to subscribe from Google Calendar, Apple Calendar, or Outlook.

What's on the Calendar page?

Open Calendar from the navigation. It shows two kinds of entry: the board's meetings, and the deadlines that are coming up for you. You can view either as a Month grid or as a List — a linear agenda of the same month's entries grouped by day. Use the toggle at the top to switch between them; both show exactly the same entries, just laid out differently. On a narrow window or a smaller screen the List view opens automatically and Month is greyed out: a full week can't be read in a 7-column grid at that width — each day would be about as wide as a fingertip. Widen the window (or turn a phone to landscape) and Month becomes available again, restoring your last choice if you had picked it. The whole day-and-title text of a meeting entry that's too long to fit is always available by hovering it.

If you're signed in as a board member, a second toggle lets you switch between Board (every scheduled meeting) and My meetings — the same list narrowed to meetings you haven't declined. There's no separate invitee list yet, so "my meetings" means every board meeting minus anything you've RSVP'd "No" to.

Each meeting shows its title, type, date and time, and (if set) its physical location, plus your own RSVP status if you've responded. Use Prev / Next to move between months, or Today to jump back to the current one. A cancelled meeting still appears — struck through and labeled Cancelled — rather than disappearing, so you can see it was called off rather than wondering why it's missing.

What are the deadline entries?

A deadline is something that's due rather than something you attend — the calendar's answer to "what's coming" beyond the meeting schedule. Each one is drawn from the record it belongs to and links straight back to it, so you can act on it in one click:

Deadlines are told apart from meetings by their label and their dashed outline — never by colour alone — and the legend below the calendar spells out what each label means. Only the kinds you actually have appear in it.

You only ever see your own deadlines. The calendar shows tasks assigned to you, surveys and polls that are waiting on you, review windows you can still comment in, and — only if you're an admin who manages seats and terms — term expiries. Another member's task never reaches your calendar, and the Meetings only toggle is just a view preference, not what keeps that private.

Deadlines shown are the ones still outstanding: once you answer a survey, comment on a review, or a deadline passes, it drops off. Overdue tasks are the one deliberate exception — an assigned task past its due date keeps showing up until you close it, which is the whole point of a reminder.

If you use the Meetings only toggle, deadlines are removed from the view entirely and the calendar looks exactly as it did before deadlines existed.

What timezone are times shown in?

Once the page loads in your browser, times switch to display in your own timezone (detected automatically from your device) rather than the board's configured timezone. This only affects how the calendar lays out which day an event falls on for you — it doesn't change the meeting itself, which is still held at one fixed point in time everywhere. If your device's timezone can't be detected, the calendar falls back to showing the board's configured timezone instead.

How do I subscribe to the calendar in my own calendar app?

Scroll to Subscribe to this calendar below the calendar view. This gives you a personal link you can add to Google Calendar, Apple Calendar, or Outlook so the board's meetings show up alongside your other events and stay in sync automatically as meetings are scheduled, changed, or cancelled — you don't need to revisit BoardTools to keep it current.

  1. Choose Generate link to create your feed link.
  2. Choose Subscribe to open it directly in a calendar app that supports one-click subscribing, or choose Copy link and paste it into your calendar app's "subscribe from URL" / "add calendar by URL" option (this is what Google Calendar's "From URL" import expects).

The link is personal to you and doesn't expire for as long as you keep using it, but it isn't shown again after you leave the page — if you lose it, choose Regenerate link to get a new one; this immediately invalidates the old link so it stops working. Choose Revoke link to stop sharing your calendar without generating a replacement. Keep the link private: anyone who has it can see this board's meetings without signing in.

Both Regenerate link and Revoke link ask you to confirm first and spell out the consequence — any calendar app still subscribed to the old link stops updating right away, and the old link can never be recovered afterward. Choosing Cancel in that prompt leaves your existing link untouched. Once you confirm, a brief notification confirms whether the link was regenerated or revoked (or reports the error if it wasn't).

This feed always reflects every meeting on the board — it isn't scoped to "My meetings." A cancelled meeting still appears in the feed marked as cancelled, so your calendar app shows it struck through instead of silently dropping it.

What the feed contains

Alongside every meeting, the feed now also carries your deadlines — the same five kinds listed above, filtered to you in exactly the same way, so the survey closing tomorrow shows up in Outlook rather than only in BoardTools. This applies to feed links that already exist: you don't need to re-subscribe or regenerate your link. The next time your calendar app polls the feed, the deadlines simply appear.

A few things worth knowing if you were already subscribed:

  • Deadlines arrive as all-day entries on the day they're due, marked free rather than busy, so they never make you look booked for the whole day or compete with real meetings for space on your calendar. The exact closing time is in the entry's description for the deadlines that have one.
  • Each entry's title is prefixed with what's closing ("Task due: …", "Review closes: …"), so you can tell it from a meeting at a glance on a phone.
  • Your existing meeting entries are untouched — nothing is renamed, duplicated, or re-created.
  • When a deadline is met, withdrawn, closed, or passes, it disappears from the feed and your calendar app removes it on its next refresh. Moving a task's due date moves the existing entry rather than adding a second one.
  • The subscribed calendar's name changes from "<Board> — Meetings" to "<Board> — Board calendar", since it's no longer meetings only. Some calendar apps will show the new name; others keep whatever name you gave the subscription yourself.
