Who has opened this document?

An admin-only roster showing which currently-serving members have opened a document, how many times, and when they last opened it.

What is the view roster?

Every time someone opens a document in the in-app reader, BoardTools quietly records it. If your role can manage documents, each document's own detail page has a Who has opened this section that turns that record into a roster: for every currently-serving member, it shows whether they've opened this document, how many times, and when they last did.

A summary line at the top gives you the headline — "5 of 8 members have opened this document. 3 have not." — and the table below lists every currently-serving member by name, so you can see at a glance who's engaged with the document and who hasn't gotten to it yet.

What does each row show?

  • Member — the member's name, avatar, and role (and status, if they're on leave rather than fully active).
  • Times opened — a count badge, or Not yet opened for a member who has never opened this document. A member who has never opened it is always shown, never left off the roster, so the roster answers "who still hasn't read this" as clearly as "who has."
  • Last opened — the date and time of that member's most recent open, in your board's own time zone, or an em dash for a member who has never opened it.

If nobody on the board has opened the document yet, the section shows an empty state instead of a table.

Who can see this?

The view roster is admin-only and gated on the same document-management permission that already controls uploading, editing, and organizing documents — a plain member never sees it, and there is no member-facing surface that tells anyone else "so-and-so read your document." It's read-only information: there's no nudge, reminder, or export action attached to it, exactly like the acknowledgment roster (see Documents) it sits alongside on the same page.

Unlike the acknowledgment roster — which only applies to governing documents — the view roster appears on every document's detail page, since a view is recorded whenever a member opens any document in the library, not just a governing one.
