What do other board members see about me?

What's shared with fellow board members by default, what stays private, and how communication preferences control who can reach you and how.

What does the rest of my board see about me?

A board is, at its core, a contact directory — so your fellow members can see your name, your role, and your status by default. Your home mailing address is the one exception: it's the most sensitive thing on a member profile, so it's kept private rather than shared with the whole board by default.

Two things never leave your own view, no matter what:

  • Administrator notes — a field admins can keep on a member's profile, visible to administrators only, never to the member it's about or to anyone else on the board.
  • Another member's own communication-preference settings — you can see whether someone can be reached, not the settings screen behind it.

This applies to the directory's CSV export too, not just the on-screen profile — the export shows each fellow member exactly what you'd already see opening their profile, never more. Only a board administrator or the chair sees an unredacted export; anyone else who can run one sees the same redacted view they already get on screen.

What does BoardTools record when I open a packet or document?

When you open a board packet or a library document — in the in-app reader, or (for a packet) by using Download PDF — BoardTools records that you engaged with it, because a chair asking "has the board actually read this?" is a legitimate governance question. What's recorded is deliberately minimal, and this is the complete list:

  • The first time you accessed it.
  • The most recent time you accessed it.
  • How many times you've accessed it, combining both ways.
  • Whether you read it in app, downloaded it, or both.

That's all. BoardTools does not record which pages you looked at, how long you spent on any page, how far you scrolled, or your IP address or location — there is nowhere in the underlying record for any of that to go. Re-opening or re-downloading the same packet doesn't create a new entry each time; it just updates the one record's "most recent" time and count, whichever way you accessed it.

This is visible to people who administer your board's governance (the same reach as other engagement signals like RSVPs and vote records) — not a private log kept only for you, and not published to the whole board as a feed.

How do communication preferences work?

On your profile, Email updates is an opt-in. Turning it off means BoardTools won't offer email as a way to reach you elsewhere in the app — an opted-out email address isn't advertised as a contact channel. See Your profile & account for where to change this.

Good governance tip: review your communication preferences whenever your role changes — a new committee chair, for instance, may want to make sure email is switched on for time-sensitive meeting changes.
